GATHERINGS FOR OUR GIRLS
"Gatherings for our Girls" events are opportunities for community members to host a social event that will raise awareness of the challenges and needs of our teenage girls and how individuals can help. If you are interested in planning a dinner, lunch, or other type of party, the following information provides you with all you need to know to plan a successful "Gatherings For Our Girls" event.
Decide how many guests you would like to invite, and what kind of party you would enjoy hosting. Consider asking a neighbor or friend to co-host. This allows you to increase your invitation list, cuts down on your expenses, and makes it more fun! Let us know your party date and the number of people you are inviting.
Sending Invitations To Your Guests
Project Return will provide you with as many generic invitations as you require, which include an RSVP card and return envelope and a blank note card for personalizing your invitation. You are responsible for addressing and mailing your invitations. Address the blank RSVP envelope to yourself so that invitees can send replies, checks/charge information directly to you.
Tracking Your Guest List
Maintain a record of whom you have invited and their reply status using the Guest Tracking Form included with your invitations. Following your event, return the form to Project Return with the checks/charges from your guests. The list will be used to generate thank-you letters and will be added to our data base. Include the names of those who donated but were unable to attend.
Obtaining Party Donations
Consider asking your favorite restaurant, grocer, florist, bakery, or specialty shop to contribute to your party. We will provide you with a sample donation letter that you can submit to your donors for their tax purposes. Please acknowledge your donors at your event, and provide a list to us of those who donated goods/services so that they can be thanked and acknowledged in future marketing materials. Need help serving or cleaning up after your dinner? Staples High School teenagers fulfilling community service hours may be able to help you.
Be The Host With The Most
Project Return will provide you with either a board member or a staff person to speak briefly about the agency and its programs and mission. We also have a compelling 7 minute DVD that is available for viewing if you would like to run it at any time during your party. Please let us know what time you would like a board member/staff person to be on hand to speak about the agency. We will also provide some take-home materials for your guests.
